Main Purpose:
Is responsible for the quality of care, maintenance and organization of operation theatres and the supervision of OT nurses, OT nurse aids and sterilization technicians, according to MSF protocols, values, universal hygiene standards and OT procedures in order to provide a high quality care to the patients.
Job Description
- Reporting to, communicating and collaborating with the Nursing Activity Manager in order to ensure the smooth and efficient running of the OT activities, according to the protocols outlined for theatre procedures. Working together with all surgical team to achieve quality of care for patients and assisting in theatre and sterilization, if necessary. Maintaining patient’s confidentiality and dignity at all times and respecting the patient’s rights and conditions, being compassionate to patient needs
- Maintaining the organization of the operation theatre (OT) which includes defining the daily and weekly programs in collaboration with the surgeons, anticipating the needs and adapting the planning as required. Planning and delegating the tasks to his/her team members, ensuring that the tasks are accomplished and checking that staff are respecting their work schedule. Coordinating with all departments involved with OT activities (laundry, stretcher bearers, surgical wards and ER, etc.) to ensure quality and quantity of supply and timing.
- Ensuring the general organization of the department, checking that care protocols and rules on security, hygiene and sepsis are followed by the health care and maintenance personnel and monitoring the quality of the global patient case management and the continuity of care. Participating in medical rounds in order to know the patients and follow the department’s activity. Encouraging daily health education sessions within the unit
- Supervising and supporting the team under his/her responsibility e.g. OT nurses. OT nurse aids, sterilization technicians and cleaners. Planning and organizing their work (areas, days, absences, visits, holidays, etc.) and coaching them in their work with special focus on following all appropriate protocols and procedures.
- Ensuring the quality of care by respecting and ensuring respect of MSF OT procedures and proposing action plans to ensure the quality of hygiene, sterilization and respect of procedures. Evaluating the implementation of OT procedures by doing regular assessments and informing the Hospital Head Nurse of the assessment results and of any problems.
- Ensuring that staff using medical devices are qualified and trained. Ensuring cleaning and maintenance tasks are performed according to the protocols. Reporting any malfunction to the project biomedical service.
- Managing the department’s stock and weekly orders (pharmacy, sterilization room and cleaners’ items, stationary). Ensuring the follow up of the consumption of drugs, consumables and other medical material and equipment under his/her responsibility and ensuring that OT registers are well fulfilled and kept
- In close collaboration with the HR department, supervising the associated HR processes (recruitment, training, induction, evaluation, potential detection, coaching, development and communication) in order to ensure both the sizing and the amount of knowledge required
- Ensuring that all the administrative procedures, patients’ data and documents are filled in correctly and registered for compiling monthly reports reflecting the activity in the department. Participating in the collection and analysis of medical data, identifying areas causing problems and implementing the necessary measures for the improvement of the service’s functioning.
OT Planning & Dual Room Coordination
- Manages simultaneous running of two OT rooms including parallel scheduling, staff allocation and real-time flow coordination between theatres, sterilization and surgical ward.
- Assigns clear roles and accountability per OT room; ensures no room operates without qualified supervision, including during surges.
- Coordinates shared resources (sterilization output, recovery space, consumables) across both theatres to prevent bottlenecks and ensure timely access to care.
- Maintains OT readiness at all times for unplanned C-sections and trauma surgeries; pre-checked emergency trolley required at every shift.
- Establishes triage criteria and escalation pathways for simultaneous emergencies (e.g. concurrent obstetric and trauma case).
Emergency Surge Preparedness
Develops and maintains a surge response plan including on-call rosters, rapid mobilisation procedures and role assignments for mass casualty scenarios.
Conducts periodic simulation drills (obstetric crash, multi-trauma) to build team confidence and identify coordination gaps.
Monitors surgical volumes proactively; adjusts staffing and supply plans in anticipation of surge periods.
IPC & Sterilization
- Conducts systematic audits of sterilization processes (autoclave cycles, instrument packaging, expiry tracking) given high patient throughput and elevated infection risk.
- Enforces strict aseptic technique compliance across all staff for all case types, with particular attention to wound classification in trauma and obstetric cases.
- Leads root cause analysis for any sterilization breach or SSI cluster, implements corrective action plans in coordination with the IPC focal point.
Team Mentoring & Capacity Building
- Provides structured bedside mentoring to a newly established OT team; directly supervises complex procedures until staff demonstrate independent competence.
- Develops and delivers context-adapted training covering OT fundamentals prioritised for the Zurmi caseload:
- trauma wound care, obstetric emergencies, paediatric sizing and sterile technique.
- Implements a competency tracking system per team member with clear milestones and regular feedback loops; reports progress to the Nursing Activity Manager.
Stock & Supply Management
- Anticipates and manages consumable needs for a high-volume mixed caseload (trauma dressings, obstetric kits, paediatric sizes, sutures); maintains buffer stocks to mitigate supply disruption.
- Establishes minimum stock threshold levels per item; flags critical shortages early to medical and logistics teams to prevent OT cancellations.
- Develops substitution protocols for frequently unavailable items so the team can adapt safely when standard supplies are out of stock.
Referral Coordination
- Serves as OT focal point for incoming surgical referrals; ensures team is briefed and theatre prepared in advance for urgent referred cases.
- Maintains a referral reception protocol covering pre-operative communication, patient handover, documentation and theatre preparation for obstetric and trauma emergencies.
- Provides outcome feedback to referring facilities to improve case selection and pre-referral stabilisation practices across the catchment area.
Working Alongside MoH Staff
- Builds a constructive working relationship with co-deployed MoH staff; communicates MSF protocols clearly while respecting national staff professional background.
- Identifies protocol discrepancies between MSF and MoH practice; escalates significant gaps to the Nursing Activity Manager and proposes harmonised approaches.
- Supports MoH staff induction and coaching into OT workflows; contributes to a unified team culture centred on patient safety and quality of care.
